Context and challenge

Led the enterprise-wide implementation and transformation of Sage 300 ERP across 12 business entities, including 7 tea-related entities covering 15 tea estates. The initiative is focused on standardizing business processes, strengthening enterprise systems, improving operational visibility, and enabling integrated digital workflows across Finance, Procurement, HR, Operations, and Estate Management.

As the IT/technology lead, I oversee ERP implementation planning, business requirements analysis, vendor management, system integration, data migration, testing, deployment, user training, change management, issue resolution, stakeholder coordination, and post-go-live optimization.

The program involves the implementation and enhancement of multiple Sage 300 modules, integration with supporting business applications, process standardization, reporting improvements, and continuous system optimization to support a scalable and more digitally connected enterprise environment.

My role and solution

  • Project Scope & Roadmap Planning: Defined implementation milestones, resource allocations, and operational deliverables to ensure on-time and within-budget execution across core business units.

  • Sage 300 System Architecture & Configuration: Spearheaded the end-to-end setup of key ERP modules—including General Ledger, Accounts Receivable, Accounts Payable, Inventory Control, and Purchase Order/Order Entry—aligning settings directly with organizational workflows.

  • Database & Enterprise Data Migration: Oversaw the extraction, transformation, and clean migration of legacy operational and financial records into the Sage 300 database schema, ensuring full data integrity and audit compliance.

  • System Integration & Process Automation: Managed backend data routing, API interfaces, and custom database synchronizations (e.g., syncing attendance hardware logs and estate operational transfers) into Sage 300.

  • Dashboard Design & Executive Reporting: Configured real-time operational and financial dashboards, providing leadership with immediate visibility into cash flow, aging balances, inventory values, and critical alerts.

  • Change Management & User Enablement: Authored user training documentation, led hands-on training sessions for key stakeholders, and implemented user permission frameworks to ensure seamless post-launch adoption.

Outcome

Accounts Receivable vs. Accounts Payable Aging: Visualizes cash flow health and short-term liabilities.

Sales & Revenue Tracking: Displays top customer performance and sales breakdown by category.

Inventory Control: Monitors inventory value distributions and stock levels across product groups.

Critical System Alerts: Provides real-time notification feeds for system actions, pending approvals, or data anomalies.
